Complete a Class Session Import Template

To import multiple new class sessions via the Import Facilitated Sessions Wizard, you will need to use a template with the following columns and data. The import file can have a variable number of columns based on the number of class days to be created. The first 17 fields (columns A-Q) represent the basic class setup such as first class date, starting time, ending time, etc. The remaining fields are for the subsequent class dates for multi-day classes. These are listed in the import table as “ClassDate#2”, ”ClassStartTime#2”, etc. Up to 100 dates can be imported for a single class session.

One spreadsheet can be used for multiple class sessions and for one or more courses. If the same user is to be enrolled in more than one, be sure they have a separate row for each session or course they are enrolled in.

The column definitions and guidelines are listed below:

Course

The title of the learning resource that this class will be associated with. This value can also be the resource ID of the course. When provided with a title, the system will try to match the title with one on file. When provided the resource ID, the system will use this value as the unique identifier for the course.

The learning resource for which class sessions are being created must already be set up using Maintain Learning Resources.

Class Date

Date of the first class, MM/DD/YYYY format.

Class Start Time

Start time of the first class. You can use 12 hour or 24 hour time formats, e.g. 8:00 AM or 16:00.

If blank, defaults to the course start time if available.

D

Class End Time

First class end time. You can use 12 hour or 24 hour time formats, e.g. 8:00 AM or 16:00.

If blank, defaults to the course end time if available.

RegOpensDate

Registration Open Date. MM/DD/YYYY format.

F

RegClosesDate

Registration Close Date. MM/DD/YYYY format.

LastCancelDate

Last Cancellation Date. MM/DD/YYYY format.

The last cancellation date cannot be after the registration close date, unless otherwise specified by your system configuration.

MaxEnrollment

Maximum participants for the class. If blank, defaults to course maximum if available.

MinEnrollment

Minimum participants for the class. If blank, defaults to course minimum if available.

Time Zone

Time zone for the class. Use the time zone codes (EST, CT) as shown on time zone drop down menu in Maintain Facilitated Sessions.

Venue

Venue ID or name. This field is case insensitive. Blank is permitted if your system is configured to not require a venue.

L

Room

If using rooms: room ID or name. This field is case insensitive.

This field can be left blank if a venue has already been assigned through either the Venue field or course defaults.

M

AllowWaitList

Corresponds to the Enable Wait List check box on Maintain Facilitated Sessions.

  • To enable the waitlist, enter a Y or true
  • To disable to waitlist, enter a N or false

If blank, this defaults to the course settings.

N

HideClass

Corresponds to the "Hide Class from User Registration" check box on Maintain Facilitated Sessions .

  • To hide the class, enter a Y or true
  • To not hide the class, enter a N or false

If blank, this defaults to the course settings.

O

Instructor

The username or employee ID of the instructor who will lead the class.

If blank, defaults to the course settings. If no instructor is listed on the course, then no instructor will be associated with this class.

The instructor must have the Instructor role in the LMS.

P

Training Coordinator

The username or employee ID of the training coordinator for the class.

If blank, defaults to the course settings. If no training coordinator is listed on the course, then no training coordinator will be associated with this class.

User must have a Training Coordinator role in the LMS.

Q

Facility Coordinator

The username or employee ID of the Facility Coordinator for the class.

If blank, defaults to the course settings. If no facility coordinator is listed on the course, then no facility coordinator will be associated with this class.

User must have Facility Coordinator role in the LMS.

The following columns are only needed for multi-day classes.

Venue#2

Second class date venue. If blank, the system will assume the value supplied for the first class date.

Room#2

Second class date room. If blank, the system will assume the value supplied for the first class date.

W

Instructor#2

Second class date instructor. If blank, the system will assume the value supplied for the first class date.
